株式会社assort(以下「会社」)は、個人情報の保護に関する法律(以下「個人情報保護法」)に基づき、従業員・業務委託スタッフ・退職者(以下「スタッフ」)と、会社の求人に応募された方(以下「応募者」)の個人情報を、次のとおり取り扱います。応募者の方には、下記12のほか、1、6、8、8の2、9、10を適用します。

2. 取り扱う個人情報
- 氏名、生年月日、性別、住所、電話番号、メールアドレス(会社のアドレスと個人のアドレス)
- 緊急連絡先(お名前・続柄・電話番号)
- 雇用・契約、勤怠、休暇、給与・報酬、口座、社会保険・税に関する情報
- 在留カード・パスポート(旅券に印字された氏名・国籍・有効期限と、ご提出いただいた写し)、運転免許証(業務で必要な場合)、美容師免許などの資格
- 評価、研修、面談、業務上の連絡の記録
- 健康診断の結果、医師の診断書など健康に関する情報
パスポートは、在留資格の確認や海外店舗への異動・出張など実際に必要な場合にのみお願いします。お持ちでない方はその旨をお知らせいただくだけで構いません。旅券番号を会社のシステムに入力して管理することはありません。マイナンバー(個人番号)は、法令で定められた社会保障・税の手続にのみ利用します。
健康診断の結果や診断書などの健康に関する情報は、個人情報保護法上の「要配慮個人情報」です。健康診断の結果は、労働安全衛生法に基づく健康診断により取得します(法令に基づく取得のため、ご本人の同意は必要ありません)。診断書などをご本人から提出いただく場合は、ご提出をもって、会社がその情報を取得することへのご同意をいただいたものとして取り扱います。要配慮個人情報は、法令に基づく場合を除き、ご本人の同意なく第三者に提供しません。健康に関する情報は、下記7の共同利用の対象に含みません。
3. 利用目的
- 雇用契約・業務委託契約の締結・管理、人事・労務管理(配属、勤怠、休暇、評価、研修)
- 給与・報酬の計算と支払い、社会保険・労働保険・税の手続、法令に基づく帳簿の作成
- 本人確認、在留資格・就労資格の確認、資格・免許の確認と有効期限のお知らせ
- 業務中の事故・急病・災害など緊急時の連絡(緊急連絡先はこの目的にのみ利用します)
- ご登録内容が最新かどうかの定期的な確認(おおむね3か月ごと)
- 退職後のご連絡(源泉徴収票・離職票などの書類の送付、社会保険の手続、退職後のお問い合わせへの対応)
- 健康診断など、法令に基づく安全衛生の措置
4. 保存期間
- 会社は、スタッフの記録を、雇用・契約の期間中と、その終了後も、法令が保存を求める間、または上記3の目的のために必要な間、保存します。
- 法令が保存を求める書類は、少なくともその期間保存します(例:労働者名簿・賃金台帳・出勤の記録などは5年間(当分の間は3年間)、税に関する帳簿書類は7年間、健康診断の結果は5年間)。
- 次の情報は、決まった時期に消去します。
- 退職者の個人メールアドレス:最終勤務日から2年間保存し、その日に自動で消去します。利用は上記3-6の目的に限ります。
- マイナンバー(個人番号):社会保障・税の手続に必要な間だけ保管します。必要がなくなり、かつ、法令で定められた書類の保存期間(例:扶養控除等申告書は7年間)が過ぎた後、できるだけ速やかに削除・廃棄します。
- 応募者の情報:下記12のとおりです。
5. 閲覧できる人
緊急連絡先、パスポート・身分証・免許、個人メールアドレスを閲覧できるのは、代表者と人事担当者に限ります。店舗のマネージャーや外部の会計事務所はこれらを閲覧できません。
6. 委託
給与計算、社会保険・税の手続を、社会保険労務士・税理士などの専門家に委託することがあります。また、情報は次のクラウドサービス等で管理し、その取扱いを委託しています。委託先には契約により適切な管理を求め、監督します。

外国にあるグループ会社について:英国とオランダは、個人情報保護委員会が日本と同等の水準にあると認める国(英国・EU)です。香港・オーストラリア・米国・カナダのグループ会社とは、個人データの取扱いに関する契約を結び、個人情報保護法に基づき会社が講ずべき措置に相当する措置を各社が継続的に講ずる体制を整備します(同法第28条第1項)。この契約は2026年9月に締結の手続を始めており、締結した日をこのページでお知らせします。会社は、各社の取扱状況を年1回以上、書面による報告を受けて確認します。ご請求があれば、この体制の内容、各社の所在国、その国の制度のうち措置の実施に影響を及ぼすおそれのあるものなどをお知らせします(同法第28条第3項)。
8. 第三者への提供
法令に基づく場合(行政機関・年金事務所・ハローワーク・税務署への届出など)を除き、ご本人の同意なく第三者に提供することはありません。
8の2. 外国にある事業者への委託
上記6のうち米国の事業者(Google、Docusign、Anthropic、Resend)については、各社との契約(データ処理に関する契約)により、個人情報保護法に基づき会社が講ずべき措置に相当する措置を各社が継続的に講ずる体制が整備されていることを確認し、年1回以上その状況を確認しています(同法第28条第1項)。Dropbox と Slack の契約相手はアイルランドの事業者で、個人情報保護委員会が日本と同等の水準にあると認める国(EU)にあります。各社の体制と会社が講じている措置の内容は、ご請求があればお知らせします(同法第28条第3項)。
9. 安全管理
アクセスできる人を役割ごとに限定し、変更の記録を残し、画面・ログ・連絡には番号や連絡先をそのまま表示しないなどの措置をとっています。
外的環境の把握:スタッフと応募者の情報は、次の国で保存され、または取り扱われます。会社は、それぞれの国の個人情報の保護に関する制度を把握したうえで、安全管理措置を講じています。
- 日本:人事の書類(HR Hub)、応募者の情報、社内AIの記録などは、Google Cloud(Google LLC、米国)の東京リージョン(日本国内のサーバー)に保存しています。提供事業者の所在国である米国の制度も把握したうえで管理しています。
- 米国:スタッフの基本情報・勤怠・給与計算のデータ(Assort OS)と会計のデータは、Google Cloud の米国内のサーバーに保存しています。Docusign、Anthropic、Resend は米国の事業者で、Dropbox と Slack のデータも米国で取り扱われます。米国には連邦レベルの包括的な個人情報保護法はなく、分野別・州別の法律で保護されています。米国は APEC の越境プライバシールール(CBPR)システムに参加しています。
- アイルランド:Dropbox と Slack の契約相手の所在国です。EU の一般データ保護規則(GDPR)が適用され、個人情報保護委員会が日本と同等の水準にあると認める国(EU)に含まれます。
- メール(Google Workspace):メールを保存するサーバーの国は、Google が世界各地のデータセンターに分散して保存する仕組みのため、特定できません。Google は、EU・英国のデータ保護規則に対応したデータ処理の契約条項を定めています。
10. 開示・訂正・利用停止などのご請求
ご自身の情報について、利用目的の通知、開示、訂正・追加・削除、利用停止・消去、第三者への提供の停止、第三者への提供の記録の開示をご請求いただけます。
- 申出先:人事担当 global_hr@assort-hair.com
- 方式:会社のメールアドレス、または会社に登録している個人のメールアドレスから、ご請求の内容と対象となる情報をお書きください。開示は、電子データまたは書面のうち、ご希望の方法で行います。
- ご本人の確認:会社のアカウント、または登録済みの個人のメールアドレスからのご連絡であることで確認します。確認できない場合に限り、ご本人であることを確認できる書類をお願いすることがあります。
- 代理人:法定代理人、またはご本人から委任を受けた代理人がご請求いただけます。その場合は、代理権を確認できる書類(委任状など)と、代理人ご本人を確認できる書類をお願いします。
- 手数料:いただきません。
- ご回答:遅滞なくご回答します。法令により対応しないことができる場合にあたるときは、その旨と理由をお知らせします。
住所や緊急連絡先の変更は、Assort OS の「わたしの情報」からも行えます。
11. 改定
本内容は必要に応じて改定し、このページでお知らせします。
12. 応募者の皆さまへ(採用選考)
会社の求人(新卒・中途・業務委託)にご応募いただく方の個人情報は、次のとおり取り扱います。
- 取り扱う情報:氏名、連絡先(電話番号・メールアドレス)、住所、生年月日、学歴・職歴・資格、応募書類(履歴書・職務経歴書、作品の写真、SNSのアカウントなど)、応募・面接でのやり取りと面接の記録
- 取得の方法:応募フォーム、メール、Instagram などのダイレクトメッセージ、面接
- 利用目的:採用選考とそのためのご連絡、採用となった場合の入社の手続、採用活動の分析と改善
- 保存期間:選考の最終結果(採用・不採用・辞退)から365日を過ぎると、採用管理システム上の氏名・連絡先・住所・生年月日(生まれ年を除きます)・面接の記録を自動で消去します。消去した後に残る記録(学歴・職歴・ご記入内容・お住まいの市区町村・生まれ年)は、採用活動の分析と改善のために保存します。Instagram などでいただいたメッセージは、お問い合わせの記録として保存し、ご請求があれば削除します。採用となった方の情報は、入社後はスタッフの情報として上記のとおり取り扱います。
- 委託・海外での取扱い・安全管理・ご請求の方法:上記6、8、8の2、9、10のとおりです。ご請求は global_hr@assort-hair.com までご連絡ください。
Japan — for staff and applicants of 株式会社assort (English translation)
This is a translation for reference. The Japanese text above is the notice.
1. Who we are
株式会社assort, Rihei Building B1F, 2-10-28 Kita-Aoyama, Minato-ku, Tokyo. Representative Director: Ken Kobayashi. Questions and complaints: HR, global_hr@assort-hair.com.
This covers our employees, freelancers and leavers ("staff"), and people who apply for a job with us ("applicants"). For applicants, section 12 applies, together with sections 1, 6, 8, 8-2, 9 and 10.
2. What we hold
Name, date of birth, gender, address, phone, work and personal email · emergency contact (name, relationship, phone) · employment or contract, attendance, leave, pay, bank, social insurance and tax details · residence card and passport (the name, nationality and expiry as printed, and the copy you give us), driver's licence where your work needs it, hairdresser's licence and other qualifications · reviews, training, meetings and work messages · health-check results, doctor's notes and other health information.
We ask for a passport only when there is a real need (checking your status of residence, a transfer or trip to a salon abroad). If you have none, just tell us. We do not type passport numbers into our system. My Number is used only for the social-security and tax procedures the law sets.
Health-check results, doctor's notes and other health information are "special care-required personal information" under Japanese law. We obtain health-check results through the health checks the Industrial Safety and Health Act requires, so no consent is needed. When you hand us a doctor's note yourself, we treat that as your consent to our collecting it. We do not give special care-required information to a third party without your consent unless the law requires it. Health information is not part of the group use in section 7.
3. Why we use it
(1) Making and managing your employment or service contract and HR (placement, attendance, leave, reviews, training). (2) Paying you, and social insurance, labour insurance and tax procedures and the records the law requires. (3) Confirming your identity, status of residence and right to work, and your qualifications and licences, and telling you before they expire. (4) Contacting someone in an emergency involving you at work — the only use of your emergency contact. (5) Checking every three months or so that your details are still up to date. (6) Contacting you after you leave (sending your withholding slip and separation papers, social-insurance procedures, answering your questions). (7) Health checks and other safety measures the law requires.
4. How long we keep it
We keep staff records during your employment or contract and afterwards, for as long as a law requires or a purpose in section 3 needs them. Records the law says we must keep are kept for at least that period (for example: the staff register, pay records and attendance records 5 years — 3 years for now; tax books 7 years; health-check results 5 years).
These are deleted on a fixed date:
- Your personal email after you leave: kept for 2 years after your last working day and deleted automatically on that date; used only to contact you after you leave (section 3, purpose 6).
- My Number: kept only while it is needed for social-security and tax procedures. Once it is no longer needed and the legal keep period of the papers that carry it has passed (for example 7 years for the dependants declaration), it is deleted or destroyed as soon as possible.
- Applicants' information: see section 12.
5. Who can see it
Emergency contacts, passports, IDs and licences, and personal emails are seen only by the representative and HR staff — never by salon managers or the outside accounting firm.
6. Service providers
Payroll and social-insurance and tax filings may be handled by outside labour-and-social-security or tax specialists. We keep and handle the data on these services, and require each by contract to manage it properly:
- Google LLC (United States): systems and database (Google Cloud), email and files (Google Workspace)
- Docusign, Inc. (United States): e-contracts and e-signatures
- Dropbox (contracting company Dropbox International Unlimited Company, Ireland; also handled in the United States): document storage
- Slack (contracting company Slack Technologies Limited, Ireland; also handled in the United States): team messages
- Anthropic, PBC (United States): our AI "Moné", which answers staff questions and sorts documents
- Resend (United States): sending our system's email
7. Group use
The Assort group companies — 株式会社assort (Japan), Assort Limited (UK), Assort B.V. (Netherlands), Assort Limited 十人十色有限公司 (Hong Kong), ASSORT HAIR PTY LTD (Australia), Assort, Inc. (US) and Assort Hair Ltd. (Canada) — use your name, contact, employment, attendance, leave, pay and qualification details jointly in one group HR system, for HR, pay checks and moves or help between salons. 株式会社assort is responsible for that joint use.
The UK and the Netherlands are recognised by Japan's Personal Information Protection Commission as having an equivalent standard (the UK and the EU). With the Hong Kong, Australian, US and Canadian companies we are putting in place a data-handling agreement (its signing began in September 2026; this page will show the date it is signed). Under it, each keeps a system for continuously taking measures equivalent to those Japanese law requires of us (Article 28(1)). We check how each company handles the data at least once a year, by a written report. On request we will tell you about this system, the countries, and any rules there that might affect these measures (Article 28(3)).
8. Others
We do not give your data to anyone else without your consent, except where the law requires it (filings with government offices, the pension office, Hello Work and the tax office).
8-2. Service providers outside Japan
For the US providers in section 6 (Google, Docusign, Anthropic and Resend), we have confirmed through our data-processing terms with each company that it keeps a system for continuously taking measures equivalent to those Japanese law requires of us, and we check this at least once a year (Article 28(1)). Dropbox's and Slack's contracting companies are in Ireland, which is in the EU — recognised as having an equivalent standard. On request we will tell you about each company's system and the measures we take (Article 28(3)).
9. Security
Access is limited by role, changes are logged, and numbers and contact details are not shown in screens, logs or messages.
Understanding the foreign environment. Staff and applicant data is stored or handled in the countries below, and we take our measures with an understanding of each country's privacy rules.
- Japan: HR documents (HR Hub), applicant records and our AI's records are stored in Google Cloud's Tokyo region (servers in Japan). The provider, Google LLC, is a US company, so we also take the US rules into account.
- United States: the staff master, attendance and payroll data (Assort OS) and the accounting data are stored on Google Cloud servers in the United States. Docusign, Anthropic and Resend are US companies, and Dropbox and Slack data is also handled in the United States. The US has no single federal privacy law; protection comes from sector and state laws. The US takes part in the APEC Cross-Border Privacy Rules (CBPR) system.
- Ireland: where Dropbox's and Slack's contracting companies are. The EU General Data Protection Regulation applies, and the EU is recognised as having an equivalent standard.
- Email (Google Workspace): we cannot name the country of the servers that store our email, because Google spreads storage across its data centres around the world. Google's data-processing terms include contract clauses that meet the EU and UK data protection rules.
10. Your rights and how to use them
You can ask us to tell you the purposes of use, or to disclose, correct, add to, delete, stop using or erase your data, stop giving it to third parties, or disclose our records of giving it to third parties.
- Where: HR, global_hr@assort-hair.com.
- How: write from your company email or the personal email we have on file, saying what you are asking for and which information. We disclose as electronic data or on paper, as you choose.
- Checking it is you: we confirm by the company account or the personal email on file. Only if that does not work may we ask for an identity document.
- Asking through someone else: a legal representative, or a person you have authorised, may ask for you, with a document showing their authority (such as a letter of authority) and one identifying themselves.
- Fee: none.
- Our answer: without delay. If the law allows us not to act on part of a request, we tell you so and why.

11. Changes
We update this page when something changes.
12. Applicants
For people who apply for a job with 株式会社assort (graduate, experienced or freelance):
- What we hold: name, contact details (phone, email), address, date of birth, education, work history and qualifications, what you send us (CV, work history, photos of your work, social-media accounts), and our messages and interview records.
- How we get it: the application form, email, Instagram and other direct messages, and interviews.
- Why: to run the selection and contact you about it, to handle joining if you are hired, and to review and improve how we recruit.
- How long: 365 days after the final outcome (hired, not hired or withdrawn), our recruitment system automatically deletes your name, contact details, address, date of birth (except the year) and interview notes. What remains after that (education, work history, what you wrote, your city and birth year) is kept to review and improve how we recruit. Messages you sent us on Instagram and similar are kept as inquiry records and deleted if you ask. If you are hired, your information is handled as staff information from then on.
- Service providers, handling abroad, security and your rights: sections 6, 8, 8-2, 9 and 10. Write to global_hr@assort-hair.com.
Appendix 2 — Privacy Notice (employees, freelancers and job applicants)
This notice forms Appendix 2 to your Written Statement of Employment Particulars. It explains what personal data Assort Limited holds about you, why, the legal basis on which we process it, who we share it with, where it goes, how long we keep it, and your rights. If you work with us as a freelancer, or apply for a job with us, section 11 explains how it applies to you. We do not rely on your consent for the routine processing described here; we rely on the lawful bases set out below.
Version 2026-09-28. Earlier version: 2026-09-21 (the first dated version). What changed in this version: the contact address (sections 1, 8 and 9); our group company in Japan (sections 1 and 5); section 6 now names where your data is held outside the UK and the safeguard for each; section 7 now gives exact keep-and-delete periods, including the legal limit for right-to-work copies; section 9 explains how to complain to us and to the Information Commission; section 11 is new.
1. Who we are
Assort Limited ("we", "us"), 81a Redchurch Street, London E2 7DJ (company number 16044330), is the data controller for the personal data we hold about you. Questions about this notice, or to exercise your data-protection rights (including a subject-access request): global_hr@assort-hair.com, or by post to the address above.
Our group company 株式会社assort (Assort Inc.), Tokyo, Japan, runs the shared HR, payroll-preparation and messaging systems the Assort group uses. It does this for us, only on our instructions.
2. The data we process
Identity and contact details (name, address, telephone, email, emergency contact); right-to-work and identity documents; date of birth; bank details and National Insurance number; pay, tax, pension and benefits records; attendance, hours, holiday and absence records; performance, training and disciplinary records; your photo and social media handles where you give them to us for the salon's website or social channels; your work email and work chat; workplace or system monitoring data where applicable; and, where relevant, health and sickness information.
3. Why we process it, and our lawful basis (UK GDPR Article 6)
(a) To perform your employment contract (Art 6(1)(b)) — paying you, and managing your hours, holiday and duties.
(b) To comply with our legal obligations (Art 6(1)(c)) — tax and National Insurance (HMRC), right-to-work checks, statutory pay, health and safety, and employment-law record-keeping.
(c) For our legitimate interests (Art 6(1)(f)) — running and protecting the business, security, training, and managing performance and conduct, balanced against your rights.
4. Health and other special-category data (UK GDPR Article 9)
Where we process health information (for example sickness absence, SSP, fitness for work or reasonable adjustments), our condition is employment, social-security and social-protection law (Art 9(2)(b)) and, where relevant, occupational health and assessment of working capacity (Art 9(2)(h)) — in each case as authorised by Schedule 1 to the Data Protection Act 2018. Where we process information about your sex or ethnicity, we do so only for equal-opportunities monitoring, under the equality-of-opportunity-or-treatment condition (Art 9(2) and Schedule 1 to the Data Protection Act 2018). We limit special-category data to what is necessary and proportionate, we keep the appropriate policy document that the Data Protection Act 2018 requires for this processing, and any medical report is handled in line with the Access to Medical Reports Act 1988.
5. Who we share it with
Our group company 株式会社assort in Tokyo, which runs our shared HR, payroll-preparation and messaging systems for us; our payroll provider/accountant and pension provider; HMRC, the Home Office and other authorities where legally required; occupational-health or medical professionals where relevant; our IT and software providers who host our HR, payroll, e-signature and messaging systems; and our professional advisers. We do not sell your data.
Automated sorting of work email and work chat. We use, or may use, an automated sorting service provided by an outside company in the United States to sort the messages in your work email account and in our work chat. Where your name appears in a message, it is part of what is sorted. The service sorts messages so that the right person answers them, and puts in order what needs attention first; our written agreement with that provider does not allow it to use our messages to train its own models. It makes no decision about you. It does not write, send or approve anything; it plays no part in any decision about your pay, your job or any other term of your employment; and it is not used to judge your performance or your conduct. Pay figures, bank and card details, passwords, file attachments and anything written in Japanese are not sent to it. Section 6 covers transfers outside the UK.
6. International transfers
Some of your data is held or handled outside the UK:
- Japan — our group company 株式会社assort, which runs our HR systems (your HR documents are stored on Google's servers in Tokyo). UK adequacy regulations cover businesses in Japan that are subject to Japan's personal information law.
- United States — our staff records and payroll exports are stored with Google in the United States; we also use Slack and Dropbox. Each of these takes part in the UK Extension to the EU–US Data Privacy Framework for HR data, which UK regulations recognise.
- United States — Anthropic (AI tools), Resend (system email, including payroll packages to our accountant), DocuSign (e-signature) and the automated sorting service in section 5. Our contracts with them include the International Data Transfer Addendum to the EU standard contractual clauses, or the International Data Transfer Agreement; DocuSign also relies on its approved binding corporate rules.
- New Zealand / Australia / United States — our payroll provider runs payroll in Xero. The UK recognises New Zealand as adequate, and Xero's terms include the UK transfer clauses.

7. How long we keep it
- Right-to-work documents (copies of your passport, visa or permit, and online check results): while you work for us and for 2 years after you leave. They are then securely destroyed, as the Home Office requires.
- Pay, tax, National Insurance, pension and minimum-wage records: 6 years after the end of the tax year they relate to.
- Your personal email address: 2 years after your last working day, then deleted automatically. We use it only to contact you about your time with us — your final pay and tax papers, anything you asked us for (such as a reference), and returning company property.
- Your emergency contact: removed on your last working day.
- If you are sponsored under our Skilled Worker licence: the records the Home Office's sponsor rules require, for as long as those rules require.
- Everything else (your contract, contact and bank details, attendance, holiday, absence, performance, training and disciplinary records): while you work for us and for 6 years after you leave — the period in which a contract claim can be brought and HMRC can check our records. It is then deleted, or anonymised so that it no longer identifies you. We keep something longer only if a claim, investigation or legal duty about it is still open.
8. Your rights
You have the right to be informed; to access your data; to have inaccurate data corrected; to have data erased; to restrict or object to processing; to data portability; not to be subject to a decision based solely on automated processing which produces legal or similarly significant effects concerning you; and to withdraw any consent where (exceptionally) we have relied on it. To exercise these rights, write to global_hr@assort-hair.com. We reply within one month; if a request is complex we can take up to two more months and will tell you why within the first month.
9. Complaints
If you are unhappy with how we handle your data, you can complain to us: write to global_hr@assort-hair.com, or by post to Assort Limited, 81a Redchurch Street, London E2 7DJ, and say that it is a data-protection complaint. We confirm that we have received it within 30 days, look into it, keep you informed, and tell you the outcome without undue delay.
You can also complain to the Information Commission (called the Information Commissioner's Office, ICO, until 30 September 2026), Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF (ico.org.uk).
10. Changes to this notice
We may update this notice. The current version, with its date, is always on our staff privacy page (hr.assort-hair.com/staff-privacy).
11. Freelancers and job applicants
Freelancers. If you work with us as a self-employed stylist, this notice applies to you with these differences:
- instead of payroll records, we hold your business details (trading name and business address), the invoices you send us and our payments to you;
- our lawful basis is our contract with you (Art 6(1)(b)), our legal duty to keep business records (Art 6(1)(c)) and our legitimate interests in running the salon (Art 6(1)(f));
- we do not run payroll, pension or sick pay for you, and we hold no health data about you;
- we keep your invoices and our payment records for 6 years after the end of the financial year they relate to, and our other records about our work together for 6 years after it ends;
- where we check your right to work in the UK, the right-to-work rule in section 7 applies (2 years after our work together ends, then destroyed).
Job applicants. When you apply, we collect what you send us — your name, contact details, CV, work history, answers on our form, any portfolio or social media handles you share (and, if you apply by Instagram message, what you send there) — and our interview notes. We use it to decide on your application: steps you ask us to take before a contract (Art 6(1)(b)) and our legitimate interest in hiring the right people (Art 6(1)(f)). Before we employ you, we check your right to work in the UK (Art 6(1)(c)). It is seen by our HR team, including our group company in Japan that runs our HR system for us. If we do not hire you, 12 months after our final decision we remove your name, contact details, home address, exact date of birth and interview notes; we keep only a summary without your name (school, work history, what you wrote to us, city and birth year) to improve our hiring. If we hire you, your application becomes part of your staff record. Sections 1, 6, 8 and 9 apply to you.

This Annex forms part of the Employment Agreement and explains, in line with Article 13 AVG/GDPR, what personal data Assort B.V. processes about the Employee, why, on what legal basis, with whom it is shared, where it goes, how long it is kept, and the Employee's rights. Section A12 explains how it applies to people who apply for a job with us. The Company does not rely on the Employee's consent for the routine processing described here; given the employment relationship (gezagsverhouding), consent is generally not a valid basis (Autoriteit Persoonsgegevens).

We process your BSN because we are legally required to (Wet op de loonbelasting) and use it only to exchange your payroll data with the Belastingdienst and other bodies where the law requires; we do not use it for any other purpose.
Wij verwerken uw BSN omdat wij daartoe wettelijk verplicht zijn (Wet op de loonbelasting) en gebruiken het uitsluitend voor de uitwisseling van uw loongegevens met de Belastingdienst en andere instanties waar de wet dit voorschrijft; wij gebruiken het niet voor andere doeleinden.
A5 — Sickness & health data · A5 — Ziekte & gezondheidsgegevens
If you are ill, the Company does not ask for or record the nature or cause of your illness. Medical data are processed only by the company doctor / occupational-health service (bedrijfsarts/arbodienst). The Company receives only what it needs to continue paying salary and to support reintegration (Wet verbetering poortwachter): your sick/recovery report, the expected duration, and your functional limitations (what work you can or cannot do). Special-category data are processed in accordance with Article 9 AVG and the UAVG.
Bij ziekte vraagt of registreert de Werkgever niet de aard of oorzaak van uw ziekte. Medische gegevens worden uitsluitend verwerkt door de bedrijfsarts/arbodienst. Automated sorting of work email and work chat. We use, or may use, an automated sorting service provided by an outside company in the United States to sort the messages in your work email account and in our work chat. Where your name appears in a message, it is part of what is sorted. The service sorts messages so that the right person answers them, and puts in order what needs attention first; our written agreement with that provider does not allow it to use our messages to train its own models. It makes no decision about you. It does not write, send or approve anything; it plays no part in any decision about your pay, your job or any other term of your employment; and it is not used to judge your performance or your conduct. Pay figures, bank and card details, passwords, file attachments and anything written in Japanese are not sent to it. Section A7 covers transfers outside the EEA.

A7 — Transfers outside the EEA · A7 — Doorgifte buiten de EER
Some of your data is held or handled outside the European Economic Area:
- Japan — our group company 株式会社assort, which runs our HR systems (your HR documents are stored on Google's servers in Tokyo), and our accountant in Japan. The European Commission has an adequacy decision for Japan.
- United Kingdom — our sister company in London. The European Commission has an adequacy decision for the United Kingdom.
- United States — your staff record and payroll exports are stored with Google in the United States; we also use Slack and Dropbox. Each takes part in the EU–US Data Privacy Framework for HR data, which is covered by an adequacy decision of the European Commission.
- United States — Anthropic (AI tools), Resend (system email, including payroll documents to our accountants), DocuSign (e-signature) and the automated sorting service in A6. Our contracts with them include the European Commission's standard contractual clauses; DocuSign also relies on its approved binding corporate rules.

A8 — Retention · A8 — Bewaartermijnen
- Salary administration data and your employment contract (and changes to it): 7 years after you leave (tax law).
- Your wage-tax statement and the copy of your identity document: 5 years after the end of the calendar year in which your employment ends; the copy of your identity document is then destroyed.
- Your personal email address: 2 years after your last working day, then deleted automatically. We use it only to contact you about your time with us (your final pay and tax papers, papers you asked for, returning company property).
- Your emergency contact: removed on your last working day.
- Other personnel-file data: in principle no longer than 2 years after the end of your employment, then deleted or anonymised so that it no longer identifies you — unless a legal obligation or an (anticipated) legal claim requires longer retention.
- Salarisadministratie en uw arbeidsovereenkomst (en wijzigingen daarin): 7 jaar nadat u uit dienst bent gegaan (belastingwetgeving).
- Uw loonbelastingverklaring en de kopie van uw identiteitsbewijs: 5 jaar na het einde van het kalenderjaar waarin uw dienstverband eindigt; de kopie van uw identiteitsbewijs wordt daarna vernietigd.
- Uw persoonlijke e-mailadres: 2 jaar na uw laatste werkdag, daarna wordt het automatisch verwijderd. Wij gebruiken het alleen om contact met u op te nemen over uw tijd bij ons (laatste salaris- en belastingstukken, documenten waar u om vroeg, het teruggeven van eigendommen van het bedrijf).
- Uw noodcontact: verwijderd op uw laatste werkdag.
- Overige personeelsdossiergegevens: in beginsel niet langer dan 2 jaar na het einde van uw dienstverband, daarna verwijderd of geanonimiseerd zodat ze u niet meer identificeren — tenzij een wettelijke verplichting of een (te verwachten) rechtsvordering langere bewaring vereist.
A9 — Your rights · A9 — Uw rechten
You have the right of access, rectification, erasure, restriction, objection, and data portability; the right not to be subject to a decision based solely on automated processing; and, where we exceptionally rely on consent, the right to withdraw it. To exercise these rights, contact global_hr@assort-hair.com. We reply within one month.
U heeft recht op inzage, rectificatie, wissing, beperking, bezwaar en dataportabiliteit; het recht niet te worden onderworpen aan een uitsluitend op geautomatiseerde verwerking gebaseerd besluit; en, waar wij bij uitzondering op toestemming steunen, het recht deze in te trekken. Your name and contact details (address, telephone, email); your company details (trade name, KvK number, BTW number); your bank account (IBAN) and the invoices you send us; the days and hours you have agreed to work and the bookings made with you; correspondence with us, including work email and work chat where you use an Assort address; and, where you have given them to us for the salon's website or social channels, your photograph and the handles you asked us to use. We do not ask for or record your BSN, and we do not hold sickness or medical data about you. If you give them to us: an emergency contact (name, relationship, telephone), used only in an emergency during your work at the salon; and a copy of your ID with the name, nationality and expiry as printed, to confirm who we contract with — we do not type the document number into our system. Both are seen only by HR.

Automated sorting of work email and work chat. We use, or may use, an automated sorting service provided by an outside company in the United States to sort the messages in work email accounts and in our work chat. Where your name appears in a message, it is part of what is sorted. The service sorts messages so that the right person answers them, and puts in order what needs attention first; our written agreement with that provider does not allow it to use our messages to train its own models. It makes no decision about you. It does not write, send or approve anything; it plays no part in any decision about your fees, your bookings or our agreement with you; and it is not used to judge your work. Payment figures, bank and card details, passwords, file attachments and anything written in Japanese are not sent to it. Section F5 covers transfers outside the EEA.

Some of your data is held or handled outside the European Economic Area:
- Japan — our group company 株式会社assort, which runs our shared systems (your documents are stored on Google's servers in Tokyo), and our accountant in Japan. The European Commission has an adequacy decision for Japan.
- United Kingdom — our sister company in London. The European Commission has an adequacy decision for the United Kingdom.
- United States — your record is stored with Google in the United States; we also use Slack and Dropbox. Each takes part in the EU–US Data Privacy Framework for HR data, covered by an adequacy decision of the European Commission.
- United States — Anthropic (AI tools), Resend (system email), DocuSign (e-signature) and the automated sorting service in F4. Our contracts with them include the European Commission's standard contractual clauses; DocuSign also relies on its approved binding corporate rules.

F6 — Bewaartermijnen · How long we keep it
We keep invoices and the accounting records that go with them for 7 years (the Dutch fiscal retention obligation). A copy of your ID, if you gave us one, is kept while we work together and deleted with the other records below. Your emergency contact, if you gave one, is removed when our work together ends. Other records about our working relationship are kept in principle no longer than 2 years after it ends, then deleted or anonymised — unless a legal obligation or an (anticipated) legal claim requires longer retention. Your personal email is kept for 2 years after your last working day and then deleted automatically; we use it only to contact you about your time with us (final invoices and payments, papers you asked for, returning company property).

Een kopie van uw identiteitsbewijs, als u ons die gaf, bewaren wij zolang wij samenwerken en verwijderen wij samen met de overige gegevens hieronder. F7 — Uw rechten · Your rights
You have the right of access, rectification, erasure, restriction, objection and data portability; the right not to be subject to a decision based solely on automated processing which produces legal or similarly significant effects; and, where we exceptionally rely on consent, the right to withdraw it. To exercise these rights, contact global_hr@assort-hair.com. We reply within one month.

Assort Limited (十人十色有限公司) — Privacy Notice for Staff and Job Applicants

This notice is for everyone who applies to work for us, works for us, or used to work for us at Assort Limited (十人十色有限公司), Company No. 2174991, 30/F The Sharp, 11–13 Sharp Street East, Causeway Bay, Hong Kong ("we", "us"). We are the data user responsible for your personal data under the Personal Data (Privacy) Ordinance (Cap. 486). This notice adds to clause 17 of your employment contract.
1. What we collect
If you apply: your name, contact details, CV, work history, qualifications, portfolio, what you tell us, and our interview notes. We do not ask job applicants for a copy of their identity card.
If you work for us:
- Identity: your name as shown on your HKID card or travel document, the type and number of that document, a copy of your HKID card or of your passport and permission to work (taken only after you accept our offer), your date of birth and nationality.
- Contact: home address, phone, personal email, and an emergency contact (name, relationship, phone).
- Work: your contract, job, start and end dates, rosters, attendance, leave and sick leave (with medical certificates), reviews, training, and the messages you send in our staff systems.
- Pay: wages, commission, bank account, MPF scheme membership and contributions, and tax details.
- If you agree: your work photo and professional social-media handle, shown on our websites and booking pages.
2. Why we use it
(a) Recruitment — deciding whether to offer you a job.
(b) Making and managing your employment contract, rosters, attendance, leave, reviews and training, and checking about every three months that your details are still up to date.
(c) Paying you, enrolling you in an MPF scheme and paying contributions, and filing employer's returns with the Inland Revenue Department.
(d) Inspecting your identity document before you start and keeping the record the Immigration Ordinance requires.
(e) Leave, sickness allowance and our other duties under the Employment Ordinance.
(f) Contacting your emergency contact in an emergency involving you at work — the only use of that contact.
(g) Group HR administration, and your work at or move to another Assort salon.
(h) Contacting you after you leave — your final pay and tax papers, anything you asked us for (such as a reference), and returning company property.
(i) Meeting our legal obligations and dealing with claims.
3. Do you have to give it?
- Applicants: your name, contact details and work history are needed for us to consider your application. The rest is voluntary.
- Before we employ you, the law requires us to inspect your HKID card (or your passport and permission to work) and to keep a record of your name as shown on it and the document's type and number (Immigration Ordinance, Cap. 115, sections 17J and 17K). We cannot employ you without this.
- Your date of birth, HKID or passport number and home address are needed to enrol you in an MPF scheme and to file employer's returns with the Inland Revenue Department. Your bank account is needed to pay your wages into your account. Without these we cannot complete your employment and pay you.
- Your emergency contact, your personal email after you leave, your work photo and your social-media handle are voluntary.
4. Who we may transfer it to
We may transfer your personal data, only for the purposes in section 2, to:
- 株式会社assort (Assort Japan), our group company in Tokyo, which runs the group HR, staff and payroll systems and whose HR and operations team handles our staff matters, under a written group data agreement (its signing began in September 2026);
- Assort Limited (United Kingdom), our group company, whose London office manager can see group staff reports;
- the Assort company that runs another Assort salon, if you work at or move to that salon;
- Susaki Accounting Firm (汀一郎税理士事務所), Japan — our payroll and accounting firm;
- H.S. Planning (HK) Limited — our bookkeeping and MPF administration;
- our MPF scheme trustee; our bank, to pay your wages; our auditor; and our insurers, where a claim needs it;
- companies that provide services to us and act on our instructions: Google (cloud servers in the United States and Japan, and email), DocuSign (electronic signatures), Dropbox (file storage), Resend (system emails), Slack (team messages), Anthropic (the artificial-intelligence assistant in our staff systems) and Xero (accounting software);
- the Inland Revenue Department, the Immigration Department, the Labour Department, the Mandatory Provident Fund Schemes Authority, courts and the police, when the law requires or allows it;
- a future employer or anyone else asking for a reference — only with your consent.
5. Your identity card
- We take a copy of your HKID card only after you accept our offer — never from applicants.
- We use it only to show that we inspected your identity document as the law requires, and to complete MPF and tax forms.
- If a paper copy is ever made, it is marked "COPY 副本" across the whole card image, in front of you.
- Your HKID number and copy are kept confidential and seen only by the people who handle HR and payroll.
- We never use your HKID number as a staff number, and we never show it together with your name in public.
6. How long we keep it
- Applicants we do not hire: 12 months after our decision we remove your name, contact details, home address, exact date of birth and interview notes.
- Staff: while you work for us and for up to 7 years after you leave. After that we delete it, unless a legal reason — such as a claim or a tax enquiry — needs it for longer.
- Your personal email address is kept for 2 years after your last working day, and then deleted.
7. Your rights: access and correction
You have the right to ask for a copy of the personal data we hold about you, and to ask us to correct it.

We check that the request comes from you, and we reply within 40 days. We do not charge a fee.
If you think staff or guest data has been lost or seen by the wrong person, tell global_hr@assort-hair.com at once (clause 17 of your contract).
8. Changes to this notice
We update this notice when something changes, with a new version date at the top.
This notice is in English and Chinese. If the two versions differ, the English version applies.

6. 資料保存期
- *未獲聘用的求職者:*在我們作出決定後12個月,我們會刪除您的姓名、聯絡資料、住址、確實出生日期及面試紀錄。
- *員工:*在您受僱期間及離職後最多7年內保存。其後我們會刪除有關資料,除非因法律理由(例如申索或稅務查詢)需要保存更長時間。
- 您的個人電郵地址會在您最後工作日後保存2年,然後刪除。
7. 您的權利:查閱及更正

Staff privacy notice — Assort Vancouver
For everyone who works for Assort Hair Ltd., everyone who applies to work with us, and everyone who used to work for us.
1. Who we are, and our privacy officer
Assort Hair Ltd. (incorporation number BC1584087) runs Assort Vancouver, 110-1228 Homer Street, Vancouver, BC V6B 2Y5 ("we", "us"). We are part of the Assort group of hair salons. Our sister company in Tokyo, 株式会社assort, runs the group's shared staff and HR systems for us.
Our privacy officer is the President of Assort Hair Ltd. Contact: global_hr@assort-hair.com (our HR desk, which reaches the President).
2. The law we follow
We follow British Columbia's Personal Information Protection Act (PIPA). Under PIPA we may collect, use and disclose your employee personal information without your consent where that is reasonable to establish, manage or end your employment — after telling you what we will collect, use or disclose and why. This notice is that notice. For anything else, we ask for your consent.
3. What we collect
- Identity and contact: your name, date of birth, home address, phone number, personal and work email, a copy of your photo ID or passport, and a profile photo if you give one.
- Your emergency contact: the name, relationship and phone number of the person you choose.
- Right to work: your Social Insurance Number (SIN), your work permit and International Experience Canada papers, and visa details.
- Pay and tax: your SIN, bank details for your pay, tax forms (such as the TD1), pay rate, hours worked, timecards, overtime, vacation and statutory holiday pay, deductions, T4 slips and Records of Employment.
- Your work: your contract, schedules and rosters, leave (including sick-leave notes you give us), training, reviews, qualifications, and records of workplace issues.
- Our systems: our staff apps record who signs in and what they change, and keep messages sent through company tools (company email, Slack, and our AI assistant Moné).
- If you apply to work with us: your CV and work history, your portfolio or social media links, messages you send us (including Instagram messages), interview notes, and references you agree to.
We collect most of this from you. We collect references only with your agreement.
4. Why we use it
- To decide whether to hire you.
- To make and manage your employment: contract, schedules, attendance, leave, pay, performance, training, and ending employment.
- To pay you, and to meet our tax, Canada Pension Plan, Employment Insurance, WorkSafeBC and employment standards duties.
- To confirm your identity and your right to work in Canada, and to remind you before your papers expire.
- To contact your emergency contact in an emergency involving you at work — that is the only use of it.
- To keep you, your colleagues and our guests safe, and to run and secure our systems.
- After you leave: to send your final pay, T4 and Record of Employment, to answer your questions, and to give a reference if you ask for one.
- To check, about every three months, that your details are still up to date.
5. Who sees it, and who we give it to
Inside the Assort group:
- The President of Assort Hair Ltd.
- The group HR desk in Japan (the Workforce Manager and the Operations Manager), which manages rosters, timecards, leave and HR records for every Assort salon. Copies of your SIN, work-permit and ID documents are kept in the HR system, which only the President and the HR desk can open.
- The group's finance staff in Japan, for pay and accounts.
- A manager at the group's London office who helps run the group staff app, where your staff record appears.
Outside the group, only as far as each needs it:
- Our payroll provider and our accountants.
- Our bank, to pay you.
- Government bodies when the law requires it: the Canada Revenue Agency, Service Canada, WorkSafeBC, the Employment Standards Branch and Immigration, Refugees and Citizenship Canada.
- Companies that store or handle data for us: Google (our HR and staff systems), DocuSign (signing contracts), Resend (email from our systems), Anthropic (our AI assistant) and Slack (our team's messages).
- A new employer or anyone else, only with your consent (for example a reference).
If you give us a profile photo, it is used in our staff apps; the photo file can be opened by anyone who has its web address.
6. Where it is stored
Your staff records are stored and processed outside Canada: your documents (such as your SIN, work permit and ID) in Tokyo, Japan, and your staff record, timecards and pay records in the United States. The people listed in section 5 can see them from Japan and the United Kingdom. While your information is in another country, it may be accessed by the courts, law enforcement and national security authorities of that country. A copy of the payroll records that employment standards law requires is also kept at our Vancouver salon.
7. How long we keep it
- While you work with us, we keep your staff record.
- After you leave, we keep:
- payroll records for at least 4 years after each record was made (Employment Standards Act);
- tax records for 6 years after the end of the tax year they relate to (Canada Revenue Agency);
- anything we used to make a decision about you for at least 1 year after the decision (PIPA).
- At the end of the 7th calendar year after the year you leave, we delete your staff record — your ID and permit copies, SIN, bank details, pay and time records and notes. We keep only your name, your job and your dates of work, so that we can confirm that you worked here.
- Your emergency contact is deleted when you leave.
- Your personal email is kept for 2 years after your last working day and then deleted automatically.
- If you applied and were not hired, or withdrew: one year after the final decision we remove your name, contact details, address, exact date of birth and interview notes. We keep the rest of your application (such as your school, work history, city and birth year) without your name.
- We never delete information while a request to see it, or a complaint about it, is still open.
8. Seeing and correcting your information
You can ask for the personal information we hold about you, how we have used it and who we have given it to, and ask us to correct it. Write to global_hr@assort-hair.com. There is no charge. We answer within 30 business days; if we need more time (up to 30 more business days), we will tell you why and when to expect our answer. You can also update your address and emergency contact yourself under "My details" in Assort OS. Where we rely on your consent, you can withdraw it by giving us reasonable notice; we will tell you what that means for you. You cannot withdraw consent where that would stop us meeting a legal duty.
9. How we protect it
Access is limited by role, changes are logged, and numbers and contact details are not shown in full in screens, logs or messages.
10. Questions and complaints
Write to our privacy officer at global_hr@assort-hair.com. We will look into it and reply in writing within 30 business days. If you are not satisfied, you can complain to the Office of the Information and Privacy Commissioner for British Columbia — oipc.bc.ca · info@oipc.bc.ca.
11. Changes
We update this notice when something changes and post the new version here with a new date.

We show this notice beside the Tax File Number field when you give us your TFN.
Your Tax File Number (TFN). We ask for your TFN under the Taxation Administration Act 1953. We use it only to work out and withhold the right tax from your pay, to report to the Australian Taxation Office, and to report to your super fund as the law requires. You do not have to give us your TFN — it is not an offence not to quote it. But if you do not give it, or claim an exemption from quoting it, the law requires us to withhold tax from your pay at the top rate. Your TFN is kept in our HR system, run for us by our group company in Japan. Only the people who run our payroll, and our Australian payroll accountant (Yoko Briese Accounting & Business Services), can see it. We delete it when the law no longer needs us to keep it.

Every country — what this adds to your notice
This adds to the privacy notice in your contract or information sheet. It does not replace it.
All countries
- Your personal email after you leave. We keep your personal email address for 2 years after your last working day, and delete it automatically on that date. We use it only to contact you about your time with us — your final pay and tax papers, anything you asked us for (such as a reference), and returning company property.
- Your emergency contact is used only in an emergency involving you at work.
- Your passport, ID and driver's licence. We keep the name, nationality and expiry as printed and the copy you give us, to confirm your identity and right to work — and, for a licence, when your work involves driving. We remind you and HR before a document expires. A passport is asked for only when there is a real need; having none is fine.
- Who can see these: the company's director and our group HR team only — never salon managers or outside accountants. Two exceptions the law sets: in Hong Kong, your HKID number and copy are seen only by the director, our HR manager and our payroll firm, which needs them for your tax and MPF filings; in Australia, your Tax File Number is seen only by the people who run Australian payroll.
- Keeping your details current. About every three months we ask you to confirm your details are still right.
Hong Kong
These purposes — including contacting you after you leave — are purposes for which your data is collected under the Personal Data (Privacy) Ordinance (Cap. 486). You may ask to see or correct your data at global_hr@assort-hair.com.
Canada
Contacting you after you leave, for the reasons above, is one of the purposes for which your personal employee information is collected and used under the Personal Information Protection Act (British Columbia). You may ask for access to your information at global_hr@assort-hair.com.
Netherlands — freelancers
In addition to the Privacy Information Sheet for freelancers: an emergency contact, if you give one, is used only in an emergency during your work at the salon; a copy of your ID is kept to confirm who we contract with, for as long as the engagement lasts and the period the law then requires; your personal email is kept 2 years after your last day, as above.
